Who we are
Plantr is run by Thomas Sanders, trading as The Colonel Entertainment (ABN 38 879 326 497) in Victoria, Australia ("Plantr", "we", "us"). Each DJ business using Plantr ("your DJ") decides what information to collect about its clients and what it is used for. Plantr stores and processes that information for them. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
What we collect
- Contact details: names, email addresses and phone numbers of couples, clients and DJs.
- Event details: dates, venues, times, run sheets, and the names of key people (such as the wedding party, MC and suppliers) and how to pronounce them.
- Music choices: song requests, including from guests who use a song request link (we ask for their name).
- Messages between you and your DJ.
- Agreements: when you accept your DJ's terms, the name you typed, the date and time, your internet (IP) address and a copy of the terms.
- Payments: amounts, dates and how you paid. Card payments are handled by Stripe. Plantr never sees or stores your card number.
- DJ business details: business name, ABN, logo, bank details for invoices, expenses and receipts for the DJ's own bookkeeping.
We don't collect sensitive information (such as health or religious information) on purpose. Please don't put it in notes or messages unless it's needed for your event.
How we collect it
From you, when you fill in an enquiry form, accept a quote, pay, edit your planner or send a message; from your DJ, when they enter your details; and from guests who add song requests.
Why we use it
- To let your DJ reply to your enquiry, send quotes and invoices, and plan and perform at your event.
- To take payments and keep records of them.
- To send emails about your booking (for example quotes, invoices, invitations and messages).
- To keep Plantr secure and working, and to help a DJ when they ask us for support.
We don't sell personal information. Couples', clients' and guests' information is never used for advertising.
Plantr's own advertising (DJs signing up)
Plantr advertises on Facebook and Instagram. To see which ads work, Plantr's sign-up page (where DJ businesses start a free trial) and the first page after signing up use the Meta Pixel, a small piece of code from Meta Platforms. It tells Meta that the page was visited and that someone signed up, together with your browser's details, your internet (IP) address and Meta's own cookies. When a DJ signs up we may also send Meta their email address, name and phone number in a scrambled (hashed) form, so Meta can match the sign-up to its ads. Meta may use this under its own privacy policy. You can control ads like this in your Facebook or Instagram ad settings, or by blocking cookies in your browser.
The Meta Pixel is not used anywhere else in Plantr: not on enquiry or booking forms, quotes, invoices, the couples' portal or any page a DJ's clients see, and not inside a DJ's account.
Who we share it with
Your information is shared with your DJ's business (and the team members they let see it) and with the services Plantr uses to run:
- Render: hosts the website and database (servers in Singapore).
- Cloudflare: stores uploaded files such as logos and receipts, and runs our domain.
- Resend: sends Plantr's emails.
- Stripe: takes card payments.
- Meta (Facebook and Instagram): only for DJs visiting Plantr's sign-up page (see "Plantr's own advertising" above).
- Spotify: song searches are sent to Spotify, and if your DJ has connected their Spotify account, your song choices are added to a private playlist in their account.
These providers may store or process information outside Australia, including in Singapore, Japan, the United States and Europe. We choose established providers that protect the information they hold. We may also share information if the law requires it.
How we keep it safe
Plantr is only available over a secure (https) connection. Each DJ business can only see its own clients, couples can only see their own booking, passwords are stored scrambled (hashed), and uploaded receipts are private. If a data breach is likely to cause serious harm, we'll tell the people affected and the Office of the Australian Information Commissioner (OAIC).
How long we keep it
Booking, invoice and payment records are kept for at least five years, because Australian tax law requires businesses to keep their records. Other information is kept while your DJ uses Plantr, and is deleted or de-identified when it's no longer needed.
Cookies
Plantr uses a few small cookies to keep you logged in, protect forms from misuse, and remember which DJ's login page to show you. The only advertising cookies are Meta's, on Plantr's sign-up page (see "Plantr's own advertising" above). Pages a DJ's clients and couples see have no advertising or tracking cookies.
Seeing or correcting your information
You can ask to see the information held about you, or ask for it to be corrected or deleted. Contact TC Entertainment first, or email us at hello@getplantr.com.au. We'll reply within 30 days. Some records (such as payments) may need to be kept for tax reasons.
Complaints
If you're unhappy with how your information has been handled, email hello@getplantr.com.au and we'll respond within 30 days. If you're still not satisfied, you can complain to the OAIC at oaic.gov.au or on 1300 363 992.
Changes
We may update this policy. The date at the top shows when it last changed.
